And as a Facilities Assistant with Bellrock, you’ll do it by…
Purpose – To support the Facilities Manager (FM) in the compliant, timely and effective delivery of FM services.
- Ensure that Bellrock meet PFI contractual obligations and the timely delivery of the contract deliverables.
- Leading the administration and caretakers in the management of the helpdesk (Concerto).
- Be the first point of escalation for the client, building users and suppliers as required.
- Ensure that reactive tasks logged by building users are attended to and rectified in a timely manner and within the relevant priority category.
- Delegate caretaker resources to attending to faults and issues logged by building users.
- Liaising with sub-contractors/suppliers to arrange attendances for Planned Preventative Maintenance attendances as well as for reactive and quoted works, and ensuring they are completed ahead of set due dates and that sub-contractors/suppliers’ complete tasks and upload certification on Concerto.
- Coordinating with the FM and/or Head Caretaker in resolving issues quickly by taking ownership of jobs where an issue or fault has led to a potential unavailability/service failure event until satisfactory completion and keeping stakeholders informed until the matter is satisfactorily resolved.
- Assisting the FM in arranging attendances for Quoted works ensuring the relevant resources are available and works are not disruptive to building operations.
- Producing data and analysis of helpdesk statistics, sub-contractor/supplier performance and compliance as required.
- Assist the FM in gathering and compiling all necessary data and information from all service streams that is required for monthly FM Operations monthly reporting.
- Ensure that all Variation, Lifecycle and Additional non-contract works are billed on completion and in a timely manner as well as maintaining the respective trackers.
- Coordinate the activities of all Bellrock services to ensure that the necessary data management information to effectively monitor the contract, can be produced.
- Monitor and liaise with sub-contractors/suppliers to ensure effective day to day service delivery and work closely with the FM to identify any performance issues.
- Maintain the helpdesk PPM schedule to ensure it is up to date and liaise with Planned services for any amendments or changes approved by the FM.
- Support the FM in promoting a culture of compliance and escalate any issues or areas of concern.
- Manage and operate Concerto and Lens on the behalf of Exempt Suppliers ensuring all information is accurate and monitored.
- Assist the FM in the financial management of operations by ensuring the documentation of spend and that budgetary parameters are being met.
- Place and manage orders to suppliers utilising Bellrock platforms and ensuring that best value is obtained.
- Ensure accurate financial reconciliation and reporting of Bellrock Catering Services
- Promote the Bellrock values within the business and all operations.
- Supporting the FM in maintaining positive and collaborative relationships with the representatives of Bolton Metropolitan Council, ProjectCo, and all other contract stakeholders.
- Assume leadership of contractual administrative function in the absence of the Facilities Manager
